eVisitor functions – what is it used for besides guest registration?

Most hosts primarily know the eVisitor information system as a solution for guest registration. However, the capabilities of this national system for guest check-in and check-out are much broader: it gives hosts access to a wide range of data, statistical indicators, and financial information.

What is eVisitor and what is its main function?

eVisitor is a unified information system that functionally connects all tourist boards in the Republic of Croatia. It was launched by the Croatian National Tourist Board in 2016, and since then every guest registration and deregistration has gone through eVisitor or through another system or application connected to eVisitor.

Compared with the period when hosts registered guests through various applications or by manually filling in forms, today’s process is much simpler. By selecting the guest registration option, a form opens in which the user enters the legally required data for each guest, as well as the arrival and departure dates.

If the automatic check-out option is enabled, guests do not need to be checked out manually, because the system will automatically process the check-out on the departure date entered.

What does eVisitor offer besides guest registration?

Besides being free of charge, eVisitor is also very easy to use. After logging into the system with a username, password, and authorization details obtained from the competent tourist board, various useful pieces of information and functionalities are available on the homepage.

On the home screen, users can see notices from the tourist board system, information relevant to hosts, and an overview of financial obligations. It is useful to log into eVisitor from time to time even when you do not need to register guests, because you can find important updates, notices, and other business-related information there.

The homepage also clearly highlights the section showing tourist tax liabilities. There you can see the total amount due, and below it there is a link to the Finances section, where it is possible to download payment details or generate a payment slip.

Reports in eVisitor – useful for analysis and planning

In the Reports category, statistical indicators related to your property or properties are available. Here you can see how many arrivals and overnight stays were recorded during a certain period, what share belongs to domestic and foreign guests, and from which countries guests most often come.

Such data can be very useful for planning future activities. If, for example, you analyse the countries your guests come from over several years, you will more easily identify which markets dominate and, based on that, better direct your marketing activities.

When you know that guests from a particular country visit you most often, you can more precisely adapt your communication, content, and advertising to that market and more easily attract even more similar guests.

Data from eVisitor can be a valuable tool for making better marketing decisions.

Besides marketing, reports on tourist traffic can also be important in other business situations, such as applications for public calls, project co-financing, or financing procedures. In such cases, an overview of arrivals and overnight stays over several years is often requested, and those are exactly the data that can be downloaded from eVisitor.

If those data also need to be officially certified, that can be requested from the competent tourist board, which also has insight into the statistics of accommodation facilities in its area.

Property information

In the Property Information section, you can check which data about your accommodation are recorded in the system. These data are entered by tourist boards based on the categorisation decision.

If you notice that something has been entered incorrectly, you cannot make the change yourself, but you can request it from the competent tourist board.

Finances

Private hosts have several financial obligations during the year. In the eVisitor system, it is possible to track information on two important obligations: tourist tax and membership fees to tourist boards.

The overview of tourist tax is clearly highlighted already on the homepage, and it is also available through the Finances category. There you can see the amount due, download payment details, and generate a payment slip.

In the case of lump-sum tourist tax payment, the system also allows the generation of multiple payment slips according to the scheduled instalments, which makes it easier to track and pay obligations. It is also possible to check whether there are outstanding debts from previous years, as well as the dates of charges and payments for each year.

The overview of tourist board membership fees is not always as visible as the overview of tourist tax, but the necessary information can also be found within the system. Data on the amount, deadlines, and payment details are usually available through notices or through the Finances section, in the payment slip area.

There it is also possible to select the display of obligations for tourist board membership fees and, in the same way, review the debt and generate a payment slip.

Why is eVisitor important beyond a host’s daily work?

Although hosts most often use it primarily for guest registration, eVisitor has a much broader role in the Croatian tourism system. It is an extensive database on accommodation facilities and tourist traffic, serving as an important basis for monitoring tourism movements and planning activities at national and local level.

Data from the system help tourist boards analyse trends, plan activities, and monitor tourist traffic, and the system also plays an important role in recording and supervising certain tourism-related obligations.

It is also important to point out that eVisitor is continuously being upgraded, so over time new functionalities appear in the system that further facilitate business operations for hosts.
